Terms and Conditions

Welcome to VeriTrack Systems. These Terms and Conditions ("Terms") govern your use of our attendance tracking platform. By accessing or using the System, you agree to comply with these Terms. If you do not agree, you must not use the System.

These Terms apply to all users of the System, including employees, HR personnel, and administrators. Please read them carefully.

  1. Acceptance of Terms
    By accessing or using VeriTrack Systems ("the System"), you agree to comply with and be bound by these Terms and Conditions ("Terms"). If you do not agree, you must not use the System.
  2. Definitions
    • System: The VeriTrack attendance tracking platform, including web and mobile interfaces.
    • User: Any individual or entity using the System (employees, HR personnel, administrators).
    • Organization: The company or entity subscribing to VeriTrack for workforce management.
    • Data: Any information collected, processed, or stored by the System.
  3. Account Registration & Access
    Organizations must provide accurate registration details.
    Employees must use their official credentials (assigned Staff ID) to access the System.
    Users are responsible for maintaining confidentiality of login details.
  4. Permitted Use
    The System must only be used for legitimate attendance tracking and workforce management.
    Users must not:
    • Falsify attendance records.
    • Share login credentials.
    • Use automated scripts or bots to manipulate data.
    • Reverse-engineer or modify the System.
  5. Data Collection & Privacy
    VeriTrack collects:
    • Employee identification (name, ID, department).
    • Live Photo data (liveliness check for verification).
    • Location data (GPS during check-in/out).
    • Device/IP information.

  6. Subscription & Payments (For Organizations)
    Organizations must pay subscription fees as agreed.
    Failure to renew may result in service suspension.
    A grace period of 5 days is allowed for overdue payments.
  7. Termination & Suspension
    VeriTrack reserves the right to suspend accounts for:
    • Violation of these Terms.
    • Suspicious activity.
    • Non-payment (for organizations).
    Employees removed from an organization’s records will lose access.
  8. Liability & Disclaimers
    VeriTrack is not liable for:
    • Errors in attendance data due to user input.
    • Internet or device failures affecting access.
    • Unauthorized access due to credential misuse.
    The System is provided "as is" without warranties of absolute accuracy.
  9. Governing Law & Disputes
    These Terms are governed by the laws of Ghana, South Africa, Nigeria, Kenya, Rwanda.
    Disputes shall first be resolved via negotiation; unresolved disputes may proceed to arbitration.

    • General African Compliance
    • South Africa: POPIA (Protection of Personal Information Act) compliance
    • Nigeria: NDPR (Nigeria Data Protection Regulation)
    • Kenya: Data Protection Act, 2019
    • Ghana: Data Protection Act, 2012 (Act 843)
    • Rwanda: Law No. 058/2021 Relating to the Protection of Personal Data and Privacy
  10. Changes to Terms
    VeriTrack may update these Terms. Users will be notified of significant changes.

By using the System, you acknowledge that you have read, understood, and agree to these Terms and Conditions. If you do not agree with any part of these Terms, you must not use the System.
